IMPORTANT: This Extension is an enterprise monitoring tool deployed by your organization. When Advanced Monitoring is enabled, the Extension captures AI interactions including prompts and responses for workplace productivity analysis and governance purposes. Your organization’s IT administrator controls the monitoring configuration and has access to collected data.
Limited Use Compliance Statement
The use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements. We affirm that:
1. We limit our use of user data to providing or improving the Extension’s core functionality as described in this policy.
2. We do not transfer user data to third parties except as necessary to provide and improve the Extension’s features, to comply with applicable laws, or as part of a merger, acquisition, or sale of assets with prior user consent.
3. We do not use or transfer user data for serving advertisements.
4. We do not allow humans to read user data except: (a) with the user’s affirmative consent, (b) for security purposes, (c) to comply with applicable laws, or (d) when data is provided to your organization’s authorized administrators for legitimate business purposes as part of the Extension’s core functionality.

Extension Purpose and Functionality
The Olakai Chrome Extension is an enterprise AI monitoring and governance tool. The single purpose of this Extension is to provide organizations with visibility into AI tool usage, measure productivity and efficiency gains, ensure policy compliance, and support data governance requirements. The Extension operates in two modes:
Standard Monitoring: Tracks which AI tools are accessed, when, and for how long.
Advanced Monitoring: In addition to standard monitoring, captures AI interactions (prompts and responses) to classify tasks, measure efficiency gains, and support compliance monitoring.
Information We Collect
The Extension collects different types of information depending on the monitoring configuration set by your organization:
Standard Monitoring Data (All Deployments)
AI Tool Access Data: Domain names of AI services accessed (e.g., ChatGPT, Claude, Gemini, Copilot), timestamps of usage sessions, and session duration.
Usage Metrics: Frequency of AI tool usage, feature engagement patterns, and aggregated usage statistics.
Authentication Data: Enterprise authentication tokens to verify authorized users and associate usage with your organization.
Advanced Monitoring Data (When Enabled by Your Organization)
When your organization enables Advanced Monitoring, the Extension additionally collects:
AI Prompts: The text of queries, instructions, and requests you submit to AI tools.
AI Responses: The text of responses and outputs generated by AI tools.
Task Classification: Automated categorization of interactions into task types and subtasks (e.g., code generation, document drafting, research, data analysis).
Efficiency Metrics: Calculated productivity assessments including estimated time savings, task completion rates, and workflow efficiency gains.
This data enables your organization to understand how AI tools are being used, measure ROI and productivity improvements, identify training opportunities, and ensure compliance with internal policies and external regulations.
What We Do NOT Collect
Regardless of monitoring configuration, the Extension does not collect:
Non-AI Browsing Activity: We do not monitor websites or applications outside of designated AI tools. General web browsing, email content, and non-AI application usage are not captured.
Personal Account Credentials: We do not capture passwords, personal login credentials, or authentication tokens for third-party services.
Financial Information: Credit card numbers, bank account details, or payment information.
Keystrokes Outside AI Tools: We do not employ general keystroke logging. Data capture is limited to interactions within monitored AI tool interfaces.
Screenshots or Screen Recording: We do not capture screenshots, screen recordings, or visual content from your display.
Audio or Video: We do not access your microphone, camera, or capture any audio/video content.

Data Retention
Data retention periods are determined by your organization’s configuration and policies. By default, detailed interaction data is retained for the period specified in your organization’s service agreement. Aggregated analytics and reports may be retained longer. Your organization’s administrator can request data deletion in accordance with applicable data protection laws.
Your Rights
Depending on your jurisdiction (including under GDPR, CCPA, and other privacy laws), you may have rights including: access to your personal data, correction of inaccurate data, deletion of your data, restriction of processing, data portability, and objection to processing. Workplace Monitoring Notice
This Extension is a workplace monitoring tool. By using devices or accounts where this Extension is installed, you acknowledge that your AI tool interactions may be monitored, recorded, and analyzed by your organization for legitimate business purposes including productivity measurement, compliance monitoring, and security. If you have questions about your organization’s monitoring policies, please contact your IT administrator or HR department.
Chrome Extension Permissions
Our Extension requests only the minimum permissions necessary for its functionality:
tabs / webNavigation: To detect navigation to AI tool domains and track session timing.
scripting / activeTab: To capture AI interactions (prompts/responses) when Advanced Monitoring is enabled.
storage/cookies: To store authentication state, user preferences, and configuration locally.
identity: To authenticate users with their organization’s Olakai account.
Local Storage
The Extension stores certain data locally on your device using Chrome’s storage API, including: authentication tokens, monitoring configuration, and temporary data cache before transmission to Olakai servers. Local data is encrypted and is used to ensure reliable operation.
Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or legal requirements. Material changes will be communicated through the Extension interface or via notification to organization administrators. The “Last Updated” date indicates when revisions were made. Continued use of the Extension after changes constitutes acceptance of the updated policy.
